# How to make AI "know everything" about your business

I often get asked by companies how they can make AI "know everything" about their business.

The instinct is usually the same:
"Can we just feed it all our presentations, policies, past projects, workflows, and documentation?"

Not quite.

The biggest misconception is thinking AI has to memorize your company.

It doesn't.

Think of it like onboarding a new consultant.

You wouldn't ask them to reread 20 years of PowerPoints every morning before work.

Instead, you'd give them:
- A playbook explaining how your firm thinks and works.
- Access to your knowledge base when they need it.
- Relevant examples from similar past engagements.
- Current client information for the project they're working on.

The best AI systems work exactly the same way.

Most businesses don't need to train their own model.

They need a better knowledge architecture:

- A small, permanent set of operating principles (how your company works)
- A searchable library of documents, playbooks, and past work
- Intelligent retrieval that finds only the relevant information for each task
- Clear governance so outdated or client-specific information isn't treated as universal truth

That's how AI starts feeling like your best employee instead of a chatbot that occasionally guesses.

Ironically, the hardest part isn't choosing the model.

It's organizing decades of institutional knowledge into something AI can actually reason over.

The companies that figure this out won't necessarily have the smartest AI.

They'll have the smartest knowledge.

If your organization has accumulated years of presentations, proposals, SOPs, reports, and "tribal knowledge," that's usually where the real opportunity is.
